How to Run Customer Aging Reports and Customer Trial Balances in Dynamics 365 Business Central

Learn how to run Customer Aging Reports and Customer Trial Balance Reports in Microsoft Dynamics 365 Business Central.

This training article explains the difference between the traditional aging report and the Excel-based aging report, along with how to generate customer trial balance reports for receivables analysis and customer account reviews.
Customer aging and trial balance reports are essential tools for monitoring outstanding receivables, evaluating customer payment trends, and supporting month-end financial review processes.
Understanding Customer Aging Reports
Business Central offers two options for reviewing accounts receivable aging: the Aged Accounts Receivable Report (traditional report) and the Aged Accounts Receivable Excel Report. Both reports provide aging information, but they serve different purposes.
Traditional Aging Report: The traditional report provides a static aging snapshot. It can be printed, exported to PDF, shared with customers or management, and used for quick aging reviews.
Excel Aging Report: Microsoft recommends the Excel version for most aging analysis because it provides greater flexibility. The Excel report includes filters, slicers, pivot tables, and other interactive analysis capabilities.
This allows users to perform deeper analysis of overdue balances and customer receivables after the report has been generated.
Run the Traditional Aged Accounts Receivable Report
Navigate to the report by selecting global search (magnifying glass icon) or press Alt + Q. Search for Aged Accounts Receivable and select the report from the results.

Configure Report Options
When the report request page opens, several options are available to customize how the report is generated.

Print Details: Enable Print Details if you would like to see all customer transactions included in the report. This option displays customer ledger entries, invoices, payments, credits, and open balances.
Aging Method: The Aging Method determines how the aging buckets are calculated. You can choose from Transaction Date, Due Date, or Document Date. Select the method that best aligns with your reporting requirements.
Statement Date: The Statement Date determines the point in time used for the aging calculations.
Select Preview to generate the report. When detailed aging is selected, the report displays:
Customer number
Customer name
Credit limit
Customer ledger transactions
Aging buckets
Current and overdue balances
This provides a complete aging history for each customer.

Run a Summary Aging Report
If detailed transactions are not required, disable the Print Details toggle and preview the report again.

The summary version displays:
Customer Number
Customer Name
Contact Information
Aging Balances
This provides a cleaner, management-level view of outstanding receivables.

Run the Aged Accounts Receivable Excel Report
The Excel report provides the same aging information with additional reporting flexibility.
Access the Excel Aging Report
To access this report, open the customer list. Select the ellipsis > Reports. Select Reports again and then select Finance Reports > Aged Accounts Receivable Excel

Configure Report Settings
Similar aging options are available for this report.

Age By: Choose whether to age transactions using Due Date, Posting Date, and Document Date.
Skip Customers with Zero Balance: Enable this option to exclude customers that do not have outstanding balances.
Select Download.

After opening the Excel file, you'll have to select Enable Editing and Enable Content. Once loaded,the report provides detailed customer aging information in Excel format.
Benefits of the Excel Aging Report
Unlike the traditional report, the Excel version allows users to perform interactive analysis after the report has been generated. Users can filter customer balances, analyze balances by currency, review information by dimensions, slice aging data in different ways, and create additional pivot table views.
The report also includes several pre-built worksheets, including Aging by Period, Aging by Period (Foreign Currency), Aging by Currency, and Customer Aging Detail. Because the report remains interactive after generation, it is often the preferred option for receivables analysis.
Run the Customer Trial Balance Report
Customer Trial Balance reports provide a summary of customer balances and activity within a specified date range.
To navigate to this report, open the Customer List, select the ellipsis (...) > Reports > Reports > Finance Reports > Customer Trial Balance.

Customer Trial Balance
The Customer Trial Balance provides high-level information about customer balances and includes several options for controlling how the report is displayed.

Show Amounts in Local Currency displays customer balances in the company's local currency.
New Page per Customer creates a separate report page for each customer.
Exclude Customers with Balance Only excludes customers that have a balance but no activity during the selected reporting period.
Date Filters allow you to enter the desired reporting period to limit the report results.
You can also use Additional Filters to further narrow the report results, including Customer Number, Customer Posting Group, and other available customer filters.
After selecting the required criteria, choose Preview to generate the report.

Customer Detail Trial Balance
The Customer Detail Trial Balance provides transaction-level detail for each customer. It expands on the summary trial balance by showing individual customer ledger entries, transaction details, activity during the selected period, and running balances.
This report is particularly useful when researching customer account activity or reconciling customer balances.
When to Use Each Report
Use the Traditional Aging Report When:
You need a printable report
You want a PDF version
You require a quick aging snapshot
You need a simple customer receivables review
Use the Excel Aging Report When:
You need deeper analysis
You want interactive filtering
You require pivot tables and slicers
You're reviewing overdue balances across multiple dimensions
Use the Customer Trial Balance When:
Reviewing customer balances
Supporting month-end procedures
Reconciling accounts receivable
Investigating customer activity within a specific period
Both aging reports and customer trial balance reports are valuable tools for managing accounts receivable in Business Central.
The traditional aging report provides a straightforward snapshot of outstanding receivables, while the Excel-based aging report offers advanced analysis capabilities that make it easier to explore customer balances and overdue accounts.
