How to Create a New Purchase Item in Dynamics 365 Business Central

Learn how to create a new purchase item in your Microsoft Dynamics 365 Business Central solution.

Whether your company is buying, selling, or tracking inventory, each item should be accurately entered into your ERP system. In this training article, we’ll walk you through the step-by-step process to add a new item in Business Central.


To begin, navigate to the Items List in Business Central. Since this list is key to your inventory management, it’s recommended that you bookmark it to your navigation menu for quick access from your home screen.

Once in the Items List, Click the New button in the action bar.

Choose a template that matches the type of item you're creating and click OK. This will open a new Item Card.

On the Item Card, enter the following item details:

  • Item Description

  • Type of Item: Inventory, Service, or Non-Inventory

  • Unit of Measure: e.g., pieces, boxes, pallets, weight, or volume

  • Category Code or Service Group

  • Purchasing Code which describes how the item is ordered and delivered

Next, under the Inventory Tab:

  • Set the storage location

  • Enter the quantity currently in stock

  • Choose whether to enable stock-out warnings

In the Costs and Posting Tab:

  • Select the costing method

  • Input the unit cost and purchase price

  • Add discounts and sales prices (click "Create New" in the cost details section)

  • Add posting details and, if applicable, the item’s tariff number

Under the Prices and Sales Tab:

  • Set the unit price

  • Define the unit of measure for sales

  • Choose a service commitment option, if needed

Configure replenishment settings in the Replenishment Tab:

  • Set lead time calculations

  • Input vendor number and vendor item number

  • For production items: configure manufacturing policy, routing number, and Production BOM number

  • For assembly items: define related policies and BOMs

Plan for inventory under the Planning tab:

  • Set the reordering policy and order tracking policy

  • Add safety lead time and safety stock quantity

  • Define lot-for-lot parameters like accumulation period

  • Set reorder point, default reorder quantity, and order modifiers such as min/max quantities and order multiples

Configure the Item Tracking Tab and Warehousing Tab:


In the Item Tracking Tab:

  • Enter the item tracking code

  • Add any required lot numbers

Under the Warehousing Tab:

  • Specify the warehouse class code

  • Add the physical inventory counting period

  • Log the last inventory date and upcoming counting schedule


Once all details are entered, Click the back arrow to return to the Items List. Your new item is now saved and available in Business Central.
